Privacy Policy
What information we collect, why, and how we keep it safe - for visitors to this site and the clients we work with.
This policy explains what information Chargefield Inc. ("Chargefield", "we", "us") collects, why, and how we look after it. It covers both visitors to this website and the clients we work with.
Who we are
Chargefield Inc. is a design studio based in Toronto, Ontario, Canada. You can reach us at info@chargefield.com or 50 Carroll Street, Toronto, ON M4M 3G3.
Information we collect
When you visit this website
- Things you send us. If you contact us, we receive whatever you choose to share - typically your name, email address, and the details of your enquiry.
- Newsletter. If you sign up for our newsletter, we collect your name and email address to send it. You can unsubscribe at any time using the link in every email.
- Basic technical logs. Like most websites, our servers record standard request information (such as IP address, browser type, and pages viewed) to keep the site secure and working.
- Analytics. We measure site traffic with a privacy-first tool that sets no cookies and collects no personal data - just aggregate counts (pages viewed, roughly where visits come from). Optionally, and only if you agree, we also use Google Analytics for more detail; it sets cookies and isn't loaded at all unless you opt in. See "Cookies & analytics" below.
When you work with us as a client
To quote, deliver, and invoice creative work, we collect the business information needed to do so - for example a contact name and email, a billing name and address, and details of the project (the film or campaign, the deliverables, dates, and fees). This information is kept in our third-party accounting and invoicing platform and is not stored on this website. Where a project involves your own materials, we handle those only to carry out the work.
How we use your information
- To respond to enquiries and communicate with you.
- To carry out and deliver the work you engage us for.
- To issue invoices, take payment, and keep the financial and tax records the law requires.
- To send our newsletter, if you signed up - you can unsubscribe at any time.
- To operate, secure, and improve our website and studio.
We do not sell your personal information, and we do not use it for advertising.
How we store and protect it
This website does not store client or billing records. Client and financial information is kept in established third-party business platforms - our accounting/invoicing provider and our payment processor - which maintain their own security safeguards. The website itself holds only website enquiries and anonymous analytics. Access to the site's administration area is limited to authorised studio personnel over encrypted connections and protected by two-factor authentication.
We do not see or store full payment-card numbers. Card payments are handled directly by our payment processor.
Service providers
We rely on a small number of trusted providers to run the studio, and share information with them only as needed to provide their service:
- Hosting & storage - for this website and our databases.
- Payment processing - to take and record payments securely.
- Accounting & invoicing - to manage billing and bookkeeping.
- Email - to correspond with you.
- Email marketing - to manage our newsletter subscriber list and send campaigns (you can unsubscribe at any time).
- Analytics - a privacy-first, cookieless traffic tool for everyone, and Google Analytics only where you opt in.
- Scheduling - an online booking tool (Cal.com) for the intro and consultation calls you choose to book; the details you enter to book (such as your name, email and time zone) are handled by that provider.
Some of these providers may store information on servers outside Canada, including in the United States and Europe, where it may be subject to the laws of that country.
Film and title information shown on this site is sourced in part from The Movie Database (TMDb); we credit TMDb as required, and this is not endorsed or certified by TMDb.
How long we keep it
We keep personal information only as long as needed for the purposes above. Financial and tax records are retained for the period required by Canadian law. Website enquiries are kept only as long as useful to follow up. Newsletter subscribers are kept until you unsubscribe.
Your rights
Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you may ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to our use of it (subject to legal and contractual limits). To make a request, email us at info@chargefield.com and we will respond within a reasonable time.
Cookies & analytics
We use two kinds of analytics. Umami is a privacy-friendly tool that runs for every visitor: it sets no cookies, stores no personal information, and records only anonymous, aggregated figures - page views, approximate region, and device/browser type. Because it can’t identify you, it needs no consent.
Separately, we offer Google Analytics (GA4) for deeper insight. GA4 uses cookies, so it is off by default - it only loads after you accept it in the cookie banner; decline or ignore the banner and it never loads at all. Your choice is remembered, and you can change it any time via Cookie settings (also linked in the footer). If your browser sends a Global Privacy Control or Do Not Track signal, we treat that as a decline and don’t ask. You can also use Google’s opt-out add-on at tools.google.com/dlpage/gaoptout. Beyond that, the only cookies we use are the few needed for the site to function.
Changes to this policy
We may update this policy from time to time. The date below shows when it was last revised, and the current version always lives at this page.
